Privacy Policy
At Vigil, your privacy is fundamental to everything we do. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our recruiting assistant service.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and authentication credentials through our secure sign-up process.
Email Data
With your explicit consent via Gmail OAuth, we access your email messages to identify and categorize recruiting-related communications. We only read emails that our system identifies as potentially recruiting-related. We do not access, store, or process personal emails unrelated to recruiting.
Recruiting Data
We extract and store information from recruiting emails including: recruiter names and contact information, company names, job titles and descriptions, compensation details when mentioned, and scheduling information.
Usage Data
We collect standard usage data including pages visited, features used, browser type, and device information to improve our service.
2. How We Use Your Information
We use your information to:
- Identify, categorize, and organize recruiting-related emails
- Track your recruiting pipeline and opportunities
- Provide insights and recommendations about opportunities
- Send you notifications about important recruiting activity
- Improve and develop our service
- Communicate with you about your account
3. Third-Party Services
We use the following third-party services to operate Vigil:
- Google APIs — For Gmail and Google Calendar integration, subject to Google's API Services User Data Policy
- AI/LLM Providers — For parsing and categorizing email content (email content is processed but not retained by these providers)
- Cloud Infrastructure — For hosting and data storage with encryption at rest
- Payment Processors — For subscription billing (we never see or store your full payment details)
We do not sell, rent, or trade your personal information to any third party. We do not share your data with advertisers.
4. Data Retention
We retain your data for as long as your account is active. Recruiting data is kept to maintain your pipeline history and provide longitudinal insights. You can request deletion of your data at any time (see "Your Rights" below). When you delete your account, all associated data is permanently removed within 30 days.
5. Your Rights
You have the right to:
- Access — Request a copy of all personal data we hold about you
- Correction — Request correction of inaccurate data
- Deletion — Request permanent deletion of your data
- Portability — Export your data in a standard format
- Revoke Access — Disconnect Gmail/Calendar integrations at any time through your Google account settings or Vigil's Connections page

6. Cookies
We use essential cookies required for authentication and session management. We do not use advertising or tracking cookies. Analytics cookies are used only to understand aggregate usage patterns and improve the service.
7. Security
We take the security of your data seriously. Measures include:
- Encryption in transit (TLS) and at rest
- OAuth 2.0 for third-party integrations (we never store your Google password)
- Regular security audits and monitoring
- Strict access controls and least-privilege principles
- SOC 2 compliance (in progress)
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes via email or through the service. Continued use of Vigil after changes constitutes acceptance of the updated policy.
